Our client, a large not-for-profit organisation with offices across Queensland and New South Wales and a head office in Brisbane, is dedicated to delivering essential support services across aged care, disability, mental health, community health and wellbeing, and homelessness. As part of their commitment to continuous improvement and future-proofing their services, they embarked on a significant project to upgrade their care management solution from a legacy system to a modern, cloud-based platform.

The Challenge: Migrating 15 Years of Data

Transitioning from a legacy system posed a significant challenge: migrating 15 years of data, including case notes, emails, operational notes, and progress notes, to the new system. This data migration was complicated by the presence of system-generated characters mixed in with the data, which had to be meticulously removed to restore the data to its original form before importing it into the new system.

The sheer volume of data—125,000 rows—meant that cleaning the data manually would be an incredibly laborious and costly task. The organization needed a solution that would ensure data integrity while minimising time and resources.

The Solution: Leveraging Artificial Intelligence

To address this challenge, we leveraged Artificial Intelligence (AI) using the OpenAI platform. We developed a prompt and program to automate the data cleaning process. The AI cycled through each row in the data sheet, cleaning the content and adding the cleansed data to a new column.

Furthermore, the AI conducted a check between the original and cleansed content, highlighting any discrepancies where the data might not be fully cleaned. These flagged items were then manually reviewed to ensure complete accuracy.

The Outcome: Efficient and Accurate Data Migration

By utilising AI, we significantly streamlined the data migration process. What would have been a labour-intensive and time-consuming manual task was transformed into an efficient, automated operation. This approach not only saved the organisation considerable time and resources but also ensured a higher degree of data accuracy and integrity.

The successful migration of 15 years of critical data to a modern, cloud-based system allows our client to support their current programs more effectively and positions them to implement future initiatives with greater ease. This technological advancement underscores their commitment to providing high-quality care and support services to their communities.
